Terms AND Conditions

 
 

1. Please read these terms and conditions carefully as, together with your booking confirmation and any conditions we refer to on our website, they make up your agreement with us. These terms and conditions apply to bookings made online, by phone or in person. 

2. When you receive your booking confirmation, please contact us as soon as possible if any of the details contained in it are incorrect. 

3. Please send us the names of all guests who are staying. We reserve the right to decline accommodation and to order any unauthorised person off the premises. The person booking the property will be responsible for the obligations and conditions of the booking. 

Cancellations

4. Cancellations made six weeks or more before the arrival date will be refunded, but an admin charge of 20% will be charged. Cancellations of less than six weeks prior to arrival will only be refunded if accommodation is let to someone else. 

5. The Owners accept all bookings in good faith. However, in the unlikely event of the Owners or their agent having to cancel any booking previously confirmed, guests will be offered alternative dates which are mutually acceptable to the Owners and guests.  

6. When booking, we strongly advise you telephone us for confirmation of availability.

Deposit

7. Any damages or breakages that may occur must be paid for. A deposit of £100 per tent will be taken on arrival. 

Complaints

8. Any complaints must be made known to the Owner immediately. No complaints will be entertained at the end of the hiring period or after the hirer has departed. 

Smoking

9. Sorry, NO SMOKING or E-cigarettes allowed in tents or buildings. 

Dogs

10. We welcome well behaved dogs (limit of two) but they must be booked in when booking the holiday. A dog pack can be supplied for £25 per dog, which will include a freshly laundered dog bed, two bowls, an XL dog crate (if requested) and an 8m long dog lead. Dogs must not be allowed on the furniture or beds. They must be supervised at all times, never left unattended and always be kept on a lead. We recommend that they wear an ID tag. Any damages must be paid for. You will be expected to promptly clean up any dog fowling. 

IMPORTANT – DOG OWNERS PLEASE READ…

The vast majority of guests with dogs have been fantastic and very responsible, however, as a result of unfortunate behaviour from the minority, we have to advise that the following will be insisted upon:
Dogs must remain on a lead when on Gravel Pit Farm land – despite assurances that dogs are well behaved we have found that they can surprise their owners!!!
Any livestock that is attacked or killed will be charged for (eg, £50 per chicken).
If there is evidence of dogs being allowed on the furniture or beds, replacements will automatically be charged for (white linen is very difficult to get stains out of especially as the soil around here is a red clay):

Firm cushions £100 per pair

Towels £7 each


“It will wash out” is not acceptable – very often it won’t wash out!
This is the only way we can ensure that the guests who come after you get pristine linen, etc. Payment will have to be made before leaving.


11. The Owners reserve the right to enter the tents at all reasonable times for the purpose of inspection and repairs. 

Insurance
12. Please take out your own insurance cover as the Owners cannot be responsible for any loss incurred from theft or damage to your belongings.  Also, please arrange cancellation insurance.

What’s included

13. Linen is provided i.e.: sheets, pillowcases, duvet covers, towels, bathmats, tea towels all included in the price. 

14. A high chair is available and can be provided upon request at the time of booking for a fee of £5. 

15. A basket of logs will be provided for the wood burning stove. More can be purchased if required. Only wood supplied by us can be burnt in the woodburning stove in the interests of safety. PLEASE DO NOT BURN ANYTHING ELSE in the woodburning stoves as this is dangerous and may result in poisonous gas.

16. Wood for the campfire can also be purchased. 

Arrival
17. Arrival times: 3pm-7pm. Other times by special arrangement. It is very helpful if you can telephone and advise/update us on your estimated time of arrival. Departure time: by 10am (later departure time can sometimes be agreed on a Sunday).

18. Guests are asked to leave their accommodation clean and tidy when vacating. To ensure this a £100.00 cash deposit is required on arrival, which is refundable on departure. 

19. A map illustrating the boundaries of Gravel Pit Farm will be supplied. You are permitted to walk on the farm, however, you do so entirely at your own risk. The Owners can take no responsibility whatsoever for any accidents that may occur. Beyond our boundaries we respectfully advise you to stick to footpaths and permitted routes. 

Children – supervision
20. Children must be supervised at all times as there are deep, unfenced ponds, barbed wire, heavy farm machinery, rabbit / fox / badger holes and other hazards that you would expect in the countryside. 

Music
21. Music should be turned down after 10pm. 

22. Please behave with respect at all times and don’t disturb the other guests and / or neighbours. 

Flood

23. There is a low risk of flooding in the area. The area of the campsite is above the area at risk, however, there are parts of the access track which may flood. Please ensure that you have provided us with two telephone numbers so that if we have an early warning telephone advice from the Environment Agency, we can, in turn, advise you. We have a four wheel drive vehicle which is suitable to drive through lying water should it be needed. 

24. Wi-Fi is provided free of charge. However, we cannot be held responsible for the speed of the connection due to the remote location of the tents. 

25. Hot and cold water are available at all times. Please beware the hot water is HOT. Please ensure the mixer taps are adjusted accordingly. Also, due to the remote location of the tents, there may be fluctuations in water pressure, water flow rate and availability of hot water due to use by other guests. 

26. Please let us have all visitors’ car registration numbers for security reasons. (CCTV) 

27. Please do not BBQ on the terrace of the tents.

Emergency

28. If there is a fire, raise the alarm, evacuate all tents, call 999 and telephone / alert the Owners.

29. If the carbon monoxide or fire alarm sounds, evacuate the tent and if anyone is affected call 999 and telephone / alert the Owners.

Force Majeure

30. The Owners are not liable for refunds or expenses you incur in the event that we are prevented from fulfilling your Booking as a result of circumstances beyond our control. Such circumstances shall include (but will not be limited to) war, terrorism, serious crime, industrial action, flooding, natural disaster, epidemics or such similar events ("Force Majeure").

We recommend that guests have adequate holiday insurance in place to cover all eventualities.
